MOVING AT THE END OF THE ACADEMIC YEAR 1. Send a formal request to Human Resources on the dates previously stipulated by HR. 2. Choose an apartment from CNG’s inventory list, or you may look for your own apartment. 3. All new rentals require a Credit Check & Contract Rights. The cost of the credit check is 5% + IVA of the monthly rental fee. Additionally, you would have to pay Derechos de Contrato + IVA of the monthly rental fee for contract rights. These fees are paid once. • Credit Check: The insurance company is responsible for carrying out the study of the tenant’s (CNG) payment capacity and approving or disapproving it. • Contract Rights is a payment that the lessee makes to the real estate agent, one time, equivalent to a percentage of the value of the first month’s rent payment that remunerates the legal, administrative, and operational management performed by the real estate company. This fee may change depending on the company. 4. All buildings have different policies regarding moving logistics. • Most buildings only allow movers Monday to Friday between 8:00 a.m. and 4:00 p.m. Most don’t allow moves over the weekend. • Most building committees request a security deposit in advance. This deposit covers any damages (if any) during the moving date. If there are no damages, you should receive the full amount back. • In general, most buildings require written communication at least a week in advance informing of the scheduled moving date. HR will send this letter to the building administrator, but keep in mind that we will need an email from you specifying the moving date and time. 5. All of our CNG contracts are for one year. You have to leave the apartment at least 10 days before the end of the contract in order to allow the School to get the apartment ready to return it. Regardless of the date you move, you must pay the full monthly rent. Also, you have to consider that from the moment you arrive at the new apartment the contract starts, so you have to pay for it, which means that you will be charged for two apartments in June. 6. If you don’t have a moving company, CNG has a person who can help you with your move. You will have to pay him directly. Just make sure to request this service a week in advance. 7. Please keep in mind that all CNG furniture in your apartment will need to be moved with you. This is your furniture for all the time you stay with CNG unless there is something you need to repair or refurbish. If you are unsure of what your inventory is, please send an email to Marcela Fernandez — dmfernandez@cng.edu & Maria Mosquera — maria.mosquera@cng.edu requesting a copy of your inventory. If you are planning on returning a piece of furniture, please inform us in advance so we can update the inventory. 8. When transferring apartments between staff members, a meeting is held to coordinate dates of moves and other logistics. Please contact Marcela Fernandez — dmfernandez@cng.edu & Maria Mosquera — maria.mosquera@cng.edu to schedule this meeting. 9. If you have carpet, please keep in mind you will be responsible for hiring a professional carpet cleaner. CNG can share the contact of a company that we use. 10. Any apartment being turned in by a faculty/staff member is painted regardless of the time lived in the apartment. Faculty MAY NOT paint their own apartment before returning it. The HR Department has a specialized team to develop this work according to the required standards. Painting measurement and billing All apartments are painted before assignment to a first-time incoming international-status staff/faculty member. In case the staff member decides to repaint the apartment in a different color, the staff member will assume the cost of having it repainted in white or off-white colors by personnel hired by CNG. Any apartment that is being turned in by a faculty member is painted regardless of the time lived in the apartment. CNG will assume the painting cost for staff members who have lived more than four years in the same apartment. Faculty MAY NOT paint their own apartment before returning it. The HR Department has a specialized team to develop this work according to the required standards. For these purposes, an inspection is carried out to review and measure the walls (and ceilings, if applicable) that need to be painted. Based on this inspection, a quote will be provided, which serves as the basis for the amount the staff member is required to pay. If the final painting cost is lower than the amount initially charged, the difference will be reimbursed.
Utilities: When changing apartments, all your utility bills must be up to date. Please bring bills for the last three months: April, May, and June. HR understands that during this transition period there are some utility bills that should be paid while you are traveling (only when changing apartments). Internet: You must request a transfer or cancellation of the internet provider. Please send an email to Laura — lauram.torres@cng.edu to arrange this. Keys: HR needs a set of keys for your apartment. If you change the locks, please make sure to leave a set in the HR Office.
MOVING BEFORE THE CONTRACT ENDS If you want to change apartments before the end of the current contract, keep in mind that there is a penalty fee.
