APARTMENT TRANSFER POLICY

If a Staff member decides to transfer to another apartment, CNG has a formal process (Annex 1) that allows this change after the lease term of one (1) year (12 months). If you are planning to move, please confirm with the Human Resources Department the termination date of your lease, to avoid any fines.

When deciding to transfer to another apartment, the staff member should send a formal request to Human Resources no later than four (4) months before the lease contract expires, as all contracts in Colombia state that, without a formal written notice to the landlord or real estate agency, the lease contract will be considered automatically extended for another year.

Please note that all transfer costs will be charged to the Staff member.

For the month in which an apartment is vacated, the international staff/faculty member must pay the rent and the utilities for the complete month. The rent and the utilities cannot be pro-rated under the standard contract stipulations.

All rental costs associated with exiting the current apartment and entering a new apartment must be incurred by the Staff/Faculty member who has initiated the request for change. It is important to consider that, in most cases, the staff/faculty member may have to pay two apartment rentals simultaneously.

The process when a staff member decides to move out is as follows:

 

4.1 REQUEST PROCESS FOR CHANGING APARTMENTS AT END OF LEASE CONTRACT (ONE YEAR):

As stated in the “Timeline” below, there are certain deadlines that should be met in order to guarantee an orderly apartment change/assignment process.

The Staff/Faculty member must fill out the CNG Housing Status Form (Annex 2). In this form, all international staff/faculty members who receive a CNG housing allowance will be asked to indicate their preferred housing status for the following school year.

In case a returning international faculty member desires to change apartments for the forthcoming school year, the staff member must indicate the specific reasons for the move, the vacating/occupancy dates, and the desired specifications for the requested new property within the approved School guidelines.

Upon signing this form expressing intent to change apartments, CNG’s HR Department will evaluate the current apartment based on factors of projected rental fee for the following year, landlord quality and contractual status, and current and projected maintenance/repair costs. Based on these factors, CNG may elect to make the apartment available to others or return the property to its owners.

The CNG HR Department cannot guarantee that apartments of the same size, location, or rental costs will be available, although we will make every attempt to provide suitable options. The CNG HR Department advises internationally hired employees that apartment availability and costs are highly dependent on current market conditions.

Outline of general timeline with specific dates to be determined annually by the HR Department:

1st week of February

CNG Housing Handbook and CNG Housing Status Form for the following school year are sent out.

3rd week of February

Deadline to submit CNG Housing Status Form for the following school year to HR Department

1st week of March

HR Department will post the CNG inventory of apartments that will be available for next school year.

2nd week of March

Deadline by which the staff member must request the desired apartment from the CNG Housing Inventory.

3rd week of March Deadline by which CNG Inventory apartments will be assigned.
4th week of March HR will confirm the apartment assignment.
1st week of May • Deadline by which the staff member must have the apartment either assigned from the inventory or selected through the local market (this option must still pass the CNG inspection).
• Deadline by which the staff member must make the appointment with HR to have inspections conducted 
for your current apartment to be vacated through Google Calendar.
2nd and 3rd week of May

Inspection weeks.
CNG starts the renting process for those who chose an apartment outside of the inventory. HR will confirm to you the deadline for the move (usually 10 days before the end of the contract). Please note that this date must be before the staff member leaves for the summer break.

4.2 REQUEST PROCESS FOR CHANGING APARTMENTS BEFORE END OF LEASE CONTRACT (ONE YEAR):

The latest date to inform about the intention to change apartments is four (4) months before the lease expires. A termination notice after this period will imply the payment of penalties as per Colombian law. See 5. Penalties.

If a Staff member decides to change apartments prior to the end of the lease expiration date, penalties will also apply, based on legal requirements.

Important note: Please note that when a staff member selects an apartment outside of the stipulated area for New International Staff and/or with a different termination date than June 30, the following conditions will apply:

  • The apartment will not be considered in the inventory for new international staff.
     
  • The staff member will assume the penalties that might apply for the change based on the legal requirements.

 

4.3 BECOMING A HOMEOWNER

In case the staff member becomes a home owner:

  • The staff member will continue to receive their housing allowance in the salary; however, this amount will not be deducted for rent and/or administration payments. They must provide a certificate called “Certificado de Libertad y Tradición” for their property.
     
  • The furniture is provided for a year, and after this period, it must be returned to the CNG HR Housing Department.
     
  • As the owner of the apartment, the employee will assume full responsibility for the property, including insurance, administration fees, utility bills, and taxes. An international employee who becomes a homeowner will no longer be part of the housing inventory, and if they wish to lease another apartment in the future, they must do so in their own name.
     
  • To avoid potential conflicts of interest, CNG will not lease apartments belonging to its employees.
